Rolling out Whole-of-Organisation Naming Conventions

Project Challenges
A government agency needed to implement formal records management practices in a decentralised environment. Key to the project was the implementation of a File Plan, that is, a whole-of-organisation naming convention framework.

Results
Project evaluation at the end of the project elicited the following results from staff who participated in the project.

  • 58% of respondents rated the File Plan as “completely” or “significantly” reflecting the activities of the organisation, with a further 31% agreeing that it reflected them “to a reasonable extent”
  • 81% of respondents were confident they can name new files to reflect the contents of the document using the File Plan
  • A total of 78% of respondents were confident they could identify an appropriate file for adding new documents
